What personal data this website collects, why, who handles it for us, and how to ask for it to be corrected or deleted.

Who we are

This website is run by Smartifier Ltd, a company registered in England and Wales (company number 14211926). Smartifier Ltd is the data controller for the personal data described here.

What we collect and why

When you send us a message

The contact form asks for your name, email address, company (optional), region and message. We use these to reply to you and to keep a record of your enquiry. The details are stored in our database and emailed to our team, and we send you a short confirmation email.

Our legal basis is our legitimate interest in answering enquiries and, where you are asking about working with us, taking steps at your request before entering into a contract.

When you use the site assistant

The assistant is an AI chatbot. When you use it we record:

  • the text of the conversation, including anything you type;
  • a random identifier for the chat session;
  • a scrambled version (a keyed hash) of your IP address. The conversation record does not contain the IP address itself.

We use this to answer your questions, to review how well the assistant is working, and to prevent misuse. The assistant is limited to 20 messages an hour for each visitor, and the scrambled IP address is how that limit is counted.

If you ask the assistant to arrange a call or to request a proposal, the details you give it (such as your name, email address and what you want to discuss) may be emailed to our team so that we can follow up.

Please do not type sensitive personal information into the assistant, such as health or financial details.

Our legal basis is our legitimate interest in running, improving and protecting this service.

How the site is used

We use an analytics service to count certain actions on the site, such as a chat message being sent or the assistant looking something up. The service also records general information about your browser and device and how you interact with pages. It does not store anything in your browser, so it cannot recognise you on a later visit. We use this to understand whether the site is useful. It is not used for advertising.

Our legal basis is our legitimate interest in understanding and improving the site.

Technical logs

Like most websites, our hosting provider records technical details of each request, including IP address, browser type and the page requested. These logs are used to keep the site running and secure.

What we do not do

  • We do not sell your data.
  • We do not use advertising or cross-site tracking.
  • We do not make decisions about you by automated means that have a legal or similarly significant effect.
  • We do not send marketing emails unless you have asked us to.

Who handles data for us

We use a small number of service providers to run this site. They process data on our instructions and only for the purposes described above.

  • Hostinger hosts the website.
  • Neon provides the database that stores contact form messages and assistant conversations.
  • Resend delivers email from the contact form and the assistant.
  • Groq runs the AI model. The text of your conversation is sent to it so that the assistant can reply.
  • Upstash provides the search index the assistant uses to find passages from this site, and the counter behind the message limit.
  • PostHog provides the analytics described above.

Some of these providers process data outside the United Kingdom, including in the United States. Where that happens we rely on the safeguards recognised under UK data protection law for international transfers.

How long we keep it

  • Contact form messages: up to 24 months after our last correspondence with you.
  • Assistant conversations: up to 12 months.
  • The counter behind the message limit: one hour.
  • Technical logs: for the period set by our hosting provider.

You can ask us to delete your data sooner (see below).

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct it if it is wrong;
  • delete it;
  • restrict or stop our use of it;
  • provide it in a portable format.

To use any of these rights, email info@smartifier.co.uk. We will reply within one month. To help us find an assistant conversation, tell us roughly when it took place and what it was about.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.

Children

This website is intended for businesses and is not directed at children.

We will update this page when what we do with personal data changes. The date at the top shows when it was last revised.
